Exhibitor Form



The Exhibitor agrees to abide by the rules, guidelines, and regulations included below, and by any amendments that may be put into effect by NAMES and The Scientific Center, Kuwait.

Terms & Conditions

Registration & Verification

  • Exhibitors commit that all information provided in the registration form is complete and accurate. Provision of false or unverifiable information may result in cancellation of registration and a full refund.
  • NAMES 2026 Team reserves the right to request supporting documentation from exhibitors for verification purposes and to amend or cancel registrations in line with exhibitor guidelines.

Eligibility & Permitted Content

  • Only products, services, and multimedia relevant to science communication, education, and visitor engagement may be displayed.
  • All proposed exhibit content must be submitted for organizer review and approval by 28 February 2026.
  • Subletting of booth space or conducting unapproved promotional activities is strictly prohibited.
  • NAMES 2026 Team reserves the right to request the removal of any items or cessation of any activities deemed offensive, irrelevant, or disruptive.

Logistics & Setup

  • Delivery and setup of booths may take place between 1 April and 6 April 2026, from 9:00 AM to 9:00 PM.
  • Dedicated logistics and exhibits staff will support exhibitors on site or remotely as needed.
  • Exhibitors are responsible for the transport and set up of their promotional materials and displays within their assigned booth area.
  • NAMES 2026 Team can only receive and store materials onsite after 1 April 2026.
  • Shipping, customs clearance, taxes, and duties are the sole responsibility of the exhibitor or their appointed forwarding agent.

Booth Management

  • Booths must be staffed during all exhibition hours.
  • Exhibitors must not relocate booths or demonstration items outside of their designated space. All egress pathways must remain clear as per safety regulations.
  • Use of external sound systems requires pre-approval from NAMES 2026 Team prior to the event.
  • Technical support and security services will be provided onsite.
  • Exhibitor badges must be worn at all times while on the premises.

Dismantling & Removal

  • Booth dismantling and removal of all materials must be completed by 10 April 2026, 12:00 PM.
  • No dismantling may take place during official exhibition fair hours.

Safety, Liability & Compliance

  • Exhibitors agree to comply with all applicable laws and safety regulations of the State of Kuwait.
  • No flammable fluids or hazardous materials may be used or displayed.
  • Exhibitors are liable for any damage caused to their booth, surrounding property, or the facility and will be held financially responsible.
  • NAMES and the host institution are not responsible for damage to or loss of exhibitor property during the event.

Cancellation & Refunds

Cancellation requests must be submitted in writing. Refunds will be processed as follows:

  • 50% refund for cancellations made on or before 14 March 2026.
  • No refund for cancellations made on or after 14 March 2026.
